Through this Privacy Policy, the University of the Bundeswehr Munich fulfils its obligation to inform users of its website about the nature, scope and purposes of the collection and use of personal data.

Personal data are collected on the University’s web servers (www.unibw.de) only to the extent that are technically necessary. All data processing activities are carried out in accordance with the applicable data protection laws, in particular the EU General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG).

This Privacy Policy provides information on the type, scope and purpose of the processing of personal data.


How do we collect your data?

Personal data is collected in two ways:

Handling of contact data

If you contact the website operator using the contact options provided (e.g. via a contact form, where applicable), your details will be stored for a period of six months for the purpose of processing and responding to your enquiry and for possible follow-up questions.

These data will not be disclosed to third parties without your consent.


Data protection in application procedures (where applicable)

Where application procedures are offered, the controller collects and processes the personal data of applicants for the purpose of conducting such procedures. Processing may also take place electronically, in particular where application documents are submitted by email or via web-based forms.

If an employment contract is concluded, the transmitted data will be stored for the purpose of managing the employment relationship in accordance with applicable statutory requirements.

If no employment contract is concluded, the application documents will be automatically deleted six months after notification of the rejection decision, unless:

  • a longer retention period has been agreed for future procedures, or
  • statutory retention obligations or other legitimate interests (e.g. legal defence) prevent deletion.

Logging

For each access to the website, the following data are logged:

  • IP address
  • accessed page (referrer)
  • name of the retrieved file
  • date and time of access
  • amount of data transferred
  • access status
  • type of web browser used
  • browser and operating system information (if transmitted)
  • referring website (if transmitted)

Processing of log data

  • Log files are automatically evaluated on an ongoing basis in order to detect and prevent attacks on the web servers. In individual cases (e.g. reported malfunctions, errors or security incidents), manual analyses may be carried out.
  • Additional personal data are collected only if the data subject voluntarily provides such information when making direct contact. Postal and email addresses provided in this context are used exclusively for correspondence purposes.

Log data are processed solely for internal system-related and statistical purposes. They are evaluated to improve the University’s information services and are deleted after 14 days.
Exception: between 21 December and 21 January, log data are retained for a period of one month.

No disclosure of log data to third parties takes place.
